MANDATORY LEAVE

When are the MLWOP/MLWP days in 2008? Calendar

MLWOP - Wednesday, December 24, 2008;
MLWOP - Monday, December 29, 2008;
MLWOP - Tuesday, December 30, 2008;
MLWOP - Wednesday, December 31, 2008; and
MLWP --- Friday, January 2, 2009.

When are the statutory holidays over the Christmas break? Calendar

Thursday, December 25, 2008;
Friday, December 26, 2008 and
Thursday, January 1, 2009.

What are MLWOP days?

Mandatory Leave Without Pay days are four (4) days of leave that eligible employees are required to take. "Non-Continuous" employees are required to take this leave during the Christmas and New Year Season and "Continuous" employees can take these leave days throughout the year, or during your term of employment.

What is a MLWP day?

A Mandatory Leave With Pay is one (1) day of leave that eligible employees are required to take. "Non-Continuous" employees are required to take this leave during the Christmas and New Year Season and "Continuous" employees can take this day of leave during the year, or during your term of employment.

Will I get paid for these days of Mandatory Leave?

Yes. Throughout the year, a small portion of each of your paycheques is put aside to cover the 4 days you take as Mandatory Leave Without Pay. You can see this value on the View Paycheque option of Self Service. Under the Earnings section, it is described as "Mandtry Lv".

You also get paid for the 1 day you take as Mandatory Leave With Pay.

EMPLOYEE GROUPS

"Non-Continous" Employees


Non-continuous employees have no operational requirement to be at work over the Christmas and New Year season.

If you are unsure if you are a non-continuous employee, please ask your supervisor.

"Continuous" Employees

Continuous Employees are employees who may have to work during the Christmas/New Years Season due to operational requirements. If you are a continuous employee, you are eligible for four (4) MLWOP days and one (1) MLWP day, which you can take at any time throughout the year, as long as operational requirements permit.

Remember to ask your supervisor before taking a MLWOP/MLWP day.

If you are unsure if you are a non-continuous employee, please ask your supervisor.

Casual Employees hired over 4 months

Casuals over 4 months earn Mandatory Leave when you work at least one day in a month. Use the Mandatory Leave Calculator to find out how many prorated hours of Mandatory Leave you've earned for your current employment period.

If you don't have enough hours to cover the full 5 days of Mandatory Leave, you can use Annual or Lieu to cover the difference.

Casual Employees hired under 4 months

Casuals working under 4 months do not earn Mandatory Leave; however, with your supervisor’s approval, you can liquidate annual leave credits you have earned for this period. If you do not have annual leave credits available to you, it will be necessary to enter Leave Without Pay for all 5 days (Leave Code L01).

Time Approvers

You are responsible to ensure your employees' time is entered correctly and approved. Double check the entries and dates to make sure there are 4 days of MLWOP and 1 day of MLWP on the right days.

You are able to enter and approve time for employees who are away, and can go back up to two time periods to change leave entries.

Please note the early cut-off dates in December are Dec 17th & 23rd. If you are away, ensure you have a secondary approver available. 

How to enter Mandatory Leave Days

  1. Bring up your Timesheet in PeopleSoft Self Service.
  2. Click on the Calendar Icon to change the date to the week of December 24th. Click Refresh.
  3. On December 24, 29, 30 & 31 enter your normal working hours (7.5 or 8.0 for most full time employees).
  4. Choose code “Mandatory Leave Without Pay” L07, L07A, L07B or L07C (only the code appropriate to your position will appear).
  5. On January 2, on a separate row, enter your normal working hours.
  6. Choose code “Mandatory Leave With Pay” L09, L09A, L09B or L09C (only the code appropriate to your position will appear).
  7. Double check your entries.
  8. Click “Submit.”
  • Your Timesheet should look like example A
  • If you have already manually entered your Mandatory Leave days and they are incorrect, you are able to go to your timesheet to correct the days and re-submit.

What if I am put on “standby” over the Christmas break?

If your supervisor requests you be put on standby, you will receive standby pay. If you are called into work for some reason, you will receive callback pay. Enter the applicable code and hours you worked in the Self Service system.

What if I am called into work over the Christmas break?

If your supervisor requests you to come to work, you will be paid the applicable overtime rate. However, unless your supervisor requests you to work, you should not be working during the Christmas break. If you do not have supervisor approval to work overtime, you will not be eligible for paid overtime.
