HR Self Service Leave Improvements

Effective April 1st, Self Service users will notice improvements to the way leave is administered.

In the past, employees were able to enter more leave than they would earn in a fiscal year, resulting in a recovery from their pay. The following new leave tools will help prevent this from happening:

Annual Leave Balance Page

  • A new “Annual Leave Detail” link on your Timesheet lets you view a detailed breakdown of your annual leave balance.
  • The annual leave balance on the Timesheet page is what you are able to apply for over the whole fiscal year.
  • By clicking on the “Annual Leave Detail” link, you can see your “to date annual balance”. This number shows your current monthly balance and what would be recovered or paid out if you were to terminate your employment today.
  • For Casuals, the annual balance on your timesheet is what you are available to apply for to date. This number includes future leave requests; however, it does not represent your “to date” entitlement. You can see what you have earned and taken to date by clicking on the Details link. If your annual leave balance is a negative (-), it is because you have taken more leave than you have earned to date.

Instant Real Time Balances

  • Leave requests will now be instantly reflected in your leave bank.
  • Once you enter leave and click “submit” on the Timesheet, those hours will instantly be deducted from your leave bank.
  • If the leave is denied by your supervisor, the hours will be instantly returned to your leave bank.
  • This applies to annual, sick and special leave.

New Leave Caps

  • New caps have been put in place that will not allow you to take more annual leave than you have in your bank. For sick and special leave, you will not be able to enter more than the maximum allowable negative balance.
  • Caps help you avoid having excess leave recovered from your pay.
  • If you have carried over a negative (-) annual leave balance, the Department of Human Resources will review your file and contact you to advise on next steps.
  • Casuals with a negative (-) annual balance available to apply for are still able to enter future annual leave, up to a maximum entitlement.
